1. Decide what needs to be recoverable

List the files required to reproduce a delivered job: original captures, editing catalog or sidecar adjustments, retouched master files, final exports, and the records that explain the selection and delivery. A folder of exported JPEGs may preserve the client’s final images while leaving no way to redo the edit. A catalog without its referenced originals may also be insufficient.

Set two practical targets: how much recent work you can tolerate losing, and how long you can tolerate being unable to work. A wedding photographer with a week of deadlines may need faster recovery than someone delivering a small monthly portrait assignment. Choose a solution you can maintain and afford at your actual file volume. Record where each file type lives and who can access it.

2. Ingest with a clear stop rule

After a session, copy files into a consistent assignment folder. Use a date and unique job identifier; avoid unnecessarily exposing a child’s full name in public filenames or shared links. Preserve the card until the intended copies are complete and checked. If you use multiple cameras, avoid overwriting identical filenames and confirm the expected file count across cards.

Open representative files from the start, middle, and end of the job. Check backup completion logs and errors rather than equating a progress window disappearing with a successful copy. Where your software supports verification, use it. A sensible stop rule is: do not format a card while an original exists only in one unverified location. Plan sufficient cards and storage so this does not become a last-minute choice.

3. Keep failures from taking every copy with them

A practical baseline is a working copy, an independent local backup, and an offsite copy. This is a proposed workflow, not a guarantee or a universal compliance standard. Consider how deletion, ransomware, theft, fire, account lockout, and a failed drive could affect each one. Two folders on the same disk are exposed to the same disk failure; two disks in the same bag share a theft risk.

Use version history or other protections appropriate to the system so an accidental overwrite does not immediately destroy all recoverable versions. A continuously synchronized service can copy a deletion as faithfully as an image. Check what happens after deletion, subscription cancellation, a lost password, or exhausted storage. These technical principles apply beyond the UK; they are not a statement of US legal requirements.

At offsite locations or in cloud services, use strong account security, appropriate access limits, and encryption where supported. Store recovery information securely so you can access your files after losing the main computer.

4. Protect editing work as well as captures

Identify where your editing application stores adjustments, catalogs, presets needed for the job, and linked external files. Schedule their backup at a frequency that matches your tolerance for rework. If yesterday’s original files are safe but forty hours of editing exist only on a failed laptop, your system has protected one part of the assignment and lost another.

Keep exports and final selections unambiguous. Use simple version labels when a client approves a correction; do not overwrite the only delivered copy without recording the change. Before uploading a gallery, check image count, color, crop, file size, and the promised naming or organization. 5. Prove restoration with a real sample

Choose a completed, non-sensitive test assignment and restore it to a separate location without depending on the primary working folder. Open originals, reconnect the editing catalog or adjustments, and export an image. Record the date, files used, errors, and elapsed time. Do not overwrite the production copy during the test.

Hypothetical planning example: restoring 200 GB over a connection averaging 50 Mbps takes about 8.9 hours of transfer time at ideal sustained speed: 200 × 8,000 ÷ 50 = 32,000 seconds. Authentication, download preparation, overhead, and slower real speeds can extend that. If you promise next-day delivery, an offsite copy may be safe yet too slow to be your only recovery option. A tested local backup can reduce interruption.

Repeat a sample test after major software, storage, or account changes and on a schedule you can sustain. Testing is what turns an assumed backup into a demonstrated recovery path.

6. Align archive promises with privacy and costs

Tell clients how long galleries remain available, what you expect them to download, and what archive or retrieval service you actually offer. Do not promise permanent storage unless you can support the financial and operational commitment. Keep financial records, agreements, releases, and image archives under appropriate separate retention decisions.

Keep sensitive images and personal information accessible only to people who need them, and plan secure disposal when retention ends.
