Photography Scheduling Software That Fits Your Working Week

Less back-and-forth. More control over your calendar.

Give clients a clear way to request a time that works for them, within the availability you choose. Session Savvy’s photography scheduling tools bring your booking types, available hours, client details, and approval process together—so arranging an appointment doesn’t mean rebuilding your week in an email thread.

Clients choose an available time and send a request. You review it before the appointment is confirmed.

Offer the Right Appointment for the Conversation

A wedding consultation, a portrait planning call, and a studio appointment may each need a different amount of time. Create booking types with their own title, description, location, and duration so clients know what they are requesting.

Share your booking page when someone is ready to choose a time, or send a link to a specific booking type. Keep the description practical: explain what the appointment covers, where it happens, and what the client should have ready.

Make Availability Fit Your Working Week

An empty space in your calendar isn’t always time you want to offer. You still need room for editing, travel, family commitments, and preparing for the next client. Set the hours that suit each appointment type rather than making every working hour available.

For example, you might offer 30-minute planning calls on Tuesday afternoons, leave 15 minutes afterward for notes, and require a day’s notice. Your booking settings should reflect the time the appointment takes out of your day, including the work around it.

Keep the Final Say Before a Booking Is Confirmed

A client’s request is held as pending while you review it. That gives you a chance to check the appointment details and decide whether it is a good fit before confirming.

The client receives a message explaining that the request is awaiting approval. When you approve it, Session Savvy connects it to a client record and creates the calendar appointment. If the request cannot go ahead, you can decline it instead.

This distinction matters when a date needs a conversation first. Choosing a time is a request—not a promise that you have accepted the job.

Check Availability Against the Work Already Scheduled

Available times take account of pending and confirmed booking requests, existing Session Savvy calendar events, and scheduled session times. Buffer time is considered when checking whether a requested appointment fits.

Session Savvy also checks for a conflicting appointment when you approve a request. If the calendar has changed, resolve the conflict before confirming.

Keep commitments recorded in Session Savvy so they can be considered. For a view of the work already on your schedule, explore the photography calendar.

Give Clients a Clear Next Step

On your booking page, clients choose an appointment type, date, and available time. Times are shown with a time zone, which they can change when needed. They provide their name and email, with space for an optional phone number and notes.

After submitting, they can see the request’s status through their management link. Pending requests can be edited; eligible requests or bookings can be cancelled. Status updates help both sides understand where the appointment stands.

How to Set Up Your Photography Scheduling Page

  1. Create a booking type. Name the appointment and add its description, location, duration, and time zone.
  2. Set your availability. Choose weekly hours, buffers, advance notice, a booking horizon, and any blocked dates.
  3. Make the booking type available. Review the client-facing details before sharing its link.
  4. Share the page. Add it to a relevant email or send the specific appointment link after an inquiry.
  5. Review incoming requests. Check the client’s notes and approve or decline the requested appointment.

Open the page on a phone before you send it to clients. Check that the appointment description answers their likely questions and that the available times match the schedule you intended.

Choose the Booking Process That Fits the Session

For consultations and appointments you want to review

Use scheduling when you want clients to request a time within recurring availability, with your approval before confirmation. If you need more information before offering a time, start with a photography inquiry form.

For a fixed day of mini sessions

Use mini-session booking when you are offering a specific event with defined slots and a booking payment process. That workflow supports the focused offer of a mini-session day. See the free mini-session booking page for details.

Keep the Work Moving After the Date Is Set

A confirmed appointment is one step in the client relationship. You may still need preparation details, an invoice, or a clear list of what comes next. Use client questionnaires for preparation and session workflow management to organize the wider job.

Give clients a simpler way to choose a time—and keep control of what goes on your calendar.
